How to manage a busy schedule successfully

Today’s  post is inspired, well…by life. Life happens and nowadays it seems like we are all busy. Sometimes I feel like there are not enough hours in a day to do it all. So, if I don’t get organized well, it can all get overwhelming and frustrating. I wanted to share my tips and tricks and what helps me to be more efficient during a day with 1001 ‘to do’s’.

  • Plan ahead 
    Proper planning is important when you want to get things done right and on time. Clear goals are really important to manage your schedule. I like to plan my week ahead with already known appointments. Also, I write ‘to-do’ lists for each day if I know a lot is going on that day. Having a ‘to-do’ list and a schedule helps me staying focused and organized.
  • Write everything down 
    With time I have learned that I am a type of person that needs to write everything down. EVERYTHING. Or I’ll probably forget something. Some people use their mobile phones, come use computer. I also like gadgets, but when it comes to planning, I like paper and pen. So, I decided to get a planner that I like using because it gives me the possibility to plan monthly, weekly and there is also plenty of space for extra little notes in addition to the important things I need to keep track of in daily life. There is just something special about chunky paper planner that  love.

  • Prioritize
    My tip is to sort your day by:
    -> things you MUST do
    -> things you SHOULD do and
    -> things you WANT to do.
    Deal with the most important things first. Also, if you have tasks that don’t have set deadlines, assign them one and you will get them done for sure.
  • Control time
    Plan ahead how much time you need for a specific task. This will help you to organize your day easier and keep you on track. Also, you can’t power through and be productive for hours and hours straight without taking a break. It is just impossible for the long run.
  • Do not get distracted
    It is that plain and simple. When working on one thing, do THAT ONE thing. I have realized that I am most efficient when doing one task at a time. Writing blog posts, editing pictures, talking on the phone and arranging meetings while cooking at the same can be frustrating and one can easily lose focus. It is less stressful to do one thing and one thing only. Plus, when I am doing one thing at a time, I get stuff done much quicker.
  • Know your work style
    Everyone is different and has a different style of working. Some people like to wake up early and start their day right away by going through their ‘to-do’ list. Other people are more productive in the evening. When you actually figure out your work style, you can make the best of it by scheduling your time to your advantage. I know that I like to relax in the evenings, so I make sure to do all of my tasks in the morning and early afternoon.
  • Be realistic 
    Today’s life is busy. We all want to be a superhero, but sometimes it just doesn’t happen. One thing I will say, you CAN do this. And yes, it is ok to take a break to charge the batteries.

    I have been using the Pomodoro technique. It’s a timer that you can find online. It is set to 25 minutes of work and 5 minutes break. So you’re working in 25-minute increments on one thing. It really helps to keep me focused!
